What to prepare, who does what, and what the activities team and care assistants should know before the first session. Made to be printed and pinned up in the activity room.

01Before you start

The list is deliberately short. RVer runs on its own: nothing to install on your institution’s computers and no link to any software you already use.

A socket near the activity room

To charge the headsets between sessions, all in one place. No dedicated socket and no building work needed.

Stable seating

An armchair, a chair with arms or a wheelchair with the brakes on, with nothing within arm’s reach. The activity room, the lounge or the resident’s own room all work. For residents who are bedbound, there is Lying-down mode.

A person in charge

Often the activities coordinator or someone on the activities team. They take responsibility for the headsets and receive the training. No technical knowledge required.

Wi-Fi: recommended

Playback is 100% offline. With Wi-Fi, one person runs several headsets from a tablet or PC (the Companion app, in the browser) and the library updates itself.

03Day one

01
It arrives set up
The headsets arrive with the app installed and the scenario library loaded. Training for the activities team is included and needs no technical knowledge.

The team gets to know the library
Before any session, whoever will accompany them tries the headset and picks a few scenarios with the residents in mind: the place they come from, the sea, a festival, a place of worship.

The first session
One resident at a time, seated, with a calm scenario and someone with them from start to finish. Watching how they react tells you more than any explanation.

04The routine, afterwards

One person, several headsets

With the Companion app, in the browser of a tablet or PC on the same Wi-Fi, whoever is accompanying picks the scenario, plays, pauses or stops each headset from a single screen. Each resident is still accompanied: the team stays in the room, beside them.

Part of the activities routine

It fits into activities you already run: a reminiscence moment, a trip to a place someone often talks about, the group conversation after the session. The conversation afterwards is part of the activity too.

Reduced mobility

Sessions happen seated, in an armchair or a wheelchair with the brakes on. For residents who are bedbound, Lying-down mode lines the scenario up with the position of the head, in their own room.

Family visits

During a visit, the family can sit alongside and talk about what the resident is seeing. Those who cannot come can join by video call and see the same scenario, on a phone or computer.

Choosing content

The team picks the scenario, ideally with the resident. RVer can rank the library and explain why it suggested something, but it does not prescribe, assess or diagnose.

After the session

A slightly damp wipe on the silicone cover and a dry microfibre cloth on the lenses. At the end of the day, all of them on charge in one place. Updates are automatic, never mid-session.

05Safety and hygiene

Class I medical device (base product) · CE marked (MDR 2017/745) · registered in EUDAMED (Basic UDI-DI 56006195127RVERTZ) and with INFARMED (Portugal, CDM 94571546). Follow these points every session.

Supervision

Always use the RVer system under supervision; never leave the user alone with the headset.

Hygiene between users

Between users, wipe the silicone cover (one washable cover comes with the kit) with a slightly damp wipe, and clean the lenses only with a dry microfibre cloth, no liquids or alcohol.

Signs of discomfort

Stop if dizziness, nausea or discomfort appears. Start with short sessions and calm videos, then increase duration and intensity gradually.

Space and position

Prefer seated use in a clear, stable space. For bedridden users, enable Lying-down mode.

Comfortable volume

Set a volume that is comfortable for the user before starting, on the headset itself.

Data and privacy

Playback runs 100% offline, no accounts. No clinical or personal patient data leaves the headset. Only per-device usage statistics are sent, identifying no one, to improve the app · GDPR-compliant.

Contraindications

Caution or prior clinical assessment in: severe motion sickness or vestibular disorders; uncontrolled epilepsy or photosensitive seizures; inability to follow safety instructions.

Intended user

Healthcare professionals and trained carers, in health or social-care settings. The user is always supervised. Not for self-administration.

Serious incidents

Report any serious incident to the manufacturer (hi@rver.pt) and to INFARMED, I.P.

In a care home, also

Before each resident’s first session

Someone who knows the resident (the care manager or the team) checks that none of the contraindications above applies. If in doubt, ask the doctor or nurse who follows the resident before going ahead.

Discomfort that goes unsaid

Some residents will not say they are uncomfortable. Fiddling with the headset, trying to take it off, restlessness or an unusual silence are signs: take the headset off gently and stop the session.

06Where it is used

Cognitive Stimulation

Places, music and memories from the library, used by the team in reminiscence and conversation activities with people of all ages.

Mental Health

Safe, controllable environments, used as non-pharmacological support under the healthcare team's supervision.

Anxiety & Stress

Calm immersive environments, used as a non-pharmacological complement in anxiety and stress contexts.
